Cancellation policy and missed appointments

Our commitment to you

At the Clinique IPS du Palais, we are committed to providing health care that is accessible, professional and delivered as promptly as possible.

Each appointment is a time slot reserved exclusively for one patient with a health professional.

When an appointment is cancelled late or a patient does not show up, this availability cannot always be offered to another person who needs care.

To ensure fair management of our availability and to respect everyone’s time, we have established this cancellation policy.

1. Cancellation notice

24-hour cancellation notice

We ask all our patients to notify us at least 24 hours before the scheduled time of their appointment for any cancellation or change.

This policy applies to appointments booked at the clinic, by phone or through our booking platform.

  • Cancellation 24 hours or more in advance: no fees.
  • Cancellation less than 24 hours before the appointment: cancellation fees may apply.
  • No-show without notice: fees may also be charged.

2. Fees

Cancellation or missed appointment fees

The following fees may be applied when an appointment is not kept, subject to their reasonableness and to the particular circumstances.

Length of the booked consultation

Less than 30 minutes

50 $

Cancellation fee

Length of the booked consultation

75 $

Cancellation fee

Length of the booked consultation

60 minutes or more

100 $

Cancellation fee

These fees are intended to compensate for the consequences of a time slot that was reserved and not used. They do not constitute billing for care that was not provided.

They are not applied automatically. Each situation may be reviewed, taking into account, among other things, the notice received and the possibility of reassigning the appointment.

3. Exceptional circumstances

Exceptional circumstances

We understand that some events are beyond our patients’ control.

A medical emergency, a hospitalization, an accident or another unforeseeable situation may prevent a person from attending their appointment.

No fees will be charged when a fortuitous event or a situation of force majeure justifies the absence.

Our team may also show flexibility in other particular circumstances, after reviewing the situation.

We invite patients to contact us as soon as possible when something unexpected comes up.

4.

Late arrivals

We ask our patients to respect the scheduled time of their consultation.

If you are late, our team will assess whether the appointment can be maintained based on the time available and the nature of the care needed.

Significant lateness could result in the consultation being rescheduled. The circumstances will then be assessed before any fees are applied.

We always prioritize safe care and respect for the patients scheduled after you.

5.

Same-day appointments

Quick consultation and minor emergency slots are in particularly high demand.

When a patient obtains a same-day appointment and can no longer attend, we ask them to let us know as soon as possible.

Any fees will be assessed based on the circumstances and the conditions communicated at the time of booking.

6.

Member and non-member patients

The cancellation policy applies to all patients of the Clinique IPS du Palais, whether or not they hold a membership plan.

The benefits of a membership do not exempt anyone from honouring booked appointments.

7.

Cancellation by the clinic

In certain exceptional circumstances, our team may have to reschedule or cancel an appointment.

In that case, the patient will be notified as soon as possible and offered a new available time whenever possible.

No fees will be charged when an appointment is cancelled at the clinic’s initiative.

8. Ethical framework

Ethical framework

Our policy is based, among other things, on section 56 of the Code de déontologie des infirmières et infirmiers du Québec (Code of ethics of nurses), which allows reasonable cancellation fees to be charged for a missed appointment when the patient has been informed beforehand.

The Clinique IPS du Palais is committed to applying this policy with transparency and sound judgment, in compliance with applicable legal and ethical obligations.
